One of the things I tell clients all the time is that there really isn’t a “wrong” choice when it comes to entertainment. Almost any entertainment can add something special to an event. The trick is choosing entertainment that fits your guests, your venue, and the kind of experience you want people to have.


After more than 25 years in the entertainment industry, I’ve helped plan everything from corporate events and festivals to weddings, galas, grand openings, and private parties. One thing I’ve learned is that the most successful events aren’t necessarily the ones with the biggest budgets. They’re the ones where the entertainment is thoughtfully planned.

Start With the Big Picture

Before choosing entertainers, I always encourage clients to think about the overall flow of their event. Ask yourself:

  • Will guests be moving around or seated most of the time?
  • Is the venue one large room or several different spaces?
  • Do you want entertainment that’s interactive, or something guests can sit back
    and enjoy?
  • What do you want people talking about on the drive home?

The answers to those questions usually point us in the right direction.

Think About Visibility

One mistake I see people make is choosing entertainment without thinking about who will actually get to enjoy it. Some entertainment naturally reaches everyone in the room.


Stilt walkers, aerialists, live bands, and DJs are great examples. They’re visible, they create energy, and they immediately grab people’s attention. As soon as guests walk through the door, they know they’re somewhere special. That’s why I often
recommend starting with entertainment that fills the space before adding smaller interactive experiences.

Never Underestimate the Power of Music

I absolutely love interactive entertainment, but it has to match the size of your event.

For example, strolling magicians can be incredible at smaller gatherings because they have time to connect with everyone. At a very large event, though, many guests may never even cross paths with them. In those cases, a stage performance often makes more sense because everyone gets to share the experience together.

The same goes for caricature artists, face painters, balloon artists, and fortune tellers.These are always crowd favorites, but if you only have one artist serving hundreds of guests, long lines are almost guaranteed. That doesn’t mean you shouldn’t have them. It just means it’s important to have enough entertainers for the size of your event so guests spend more time enjoying themselves and less time waiting.

One of the easiest ways to make guests happy is to reduce wait times. Sometimes hiring one extra entertainer creates a much better experience than adding something completely different.

Some Entertainment Does Double Duty

One of my favorite examples is cigar rollers. They’re more than just entertainment. Guests love watching the cigars being rolled by hand, chatting with the roller, and taking home a customized cigar with your company logo, wedding monogram, or event branding. Even guests who don’t smoke usually stop to watch because it’s such a unique experience.

That’s the kind of entertainment I love because it creates interaction, conversation, and a memorable takeaway all at once.

Timing Can Make All the Difference

The same entertainment can feel completely different depending on when it happens.


I love creating that “wow” moment as guests arrive. Stilt walkers, living statues, musicians, aerialists, cigar rollers, and other ambient entertainers immediately set the tone and create excitement before the event even gets underway.

Later in the evening, after dinner or once guests have settled in, that’s usually the perfect time for a featured performance or stage show when everyone can stop and enjoy it together.

Good entertainment isn’t just about what you book. It’s also about when your guests experience it.

Bigger Events Need Bigger Thinking

As your guest count grows, so should your entertainment plan. If your event has multiple rooms, outdoor spaces, or a large ballroom, you’ll want entertainment throughout the venue so every guest feels like they’re part of the experience.

Something else many people don’t realize is that performers need breaks. For example, aerialists can’t stay suspended in the air for hours at a time. Having multiple performers allows them to rotate, keeping the entertainment going seamlessly throughout the event.


It’s those little details that can make a big difference.

At the end of the day, your budget will always help determine what’s possible, but creating a memorable event isn’t about spending the most money. It’s about making thoughtful choices that fit your guests and your vision.

The best entertainment doesn’t just fill time. It creates energy, starts conversations, and gives people moments they’ll remember long after the event is over.
