If you’ve ever attended the Bayou City Art Festival, you know it’s not a small event. It’s one of the largest outdoor art festivals in Houston, happening twice a year in two very different settings, downtown and Memorial Park. Thousands of people come through over the course of the weekend, and what most people see is a vibrant, seamless experience filled with art, music, and energy. What they don’t see is everything happening behind the scenes to make that possible.

What We’re Responsible For

For us, this festival is a big one. We handle all of the sound production, typically across two stages, along with curating and managing the entertainment lineup. Our focus is heavily on live bands, but we also bring in ambient entertainment throughout the festival grounds.

That includes:

  • Stilt walkers
  • Bubble experiences
  • Brazilian drum groups
  • Hula hoop entertainers
  • DJs and live music across multiple genres

One of our biggest goals each year is to create a lineup that reflects the diversity of Houston. We bring in everything from Latin bands to reggae, jazz, and more, so that as guests move through the festival, the experience keeps changing.

This Is Not a One-Weekend Job

Even though the festival itself runs Friday through Sunday, the preparation happens all year.

We are constantly thinking about:

  • Which performers to bring in
  • How to build the lineup
  • How to manage transitions between acts
  • How to coordinate sound across multiple stages

By the time the weekend arrives, everything has been planned out in detail, but there are still a lot of moving parts.

What It Actually Takes to Run It

This is where things get real. We are usually onsite before the park even opens. Sometimes we are setting up the night before, but if not, we are there early, around 6 AM, getting everything in place. From there, it is nonstop coordination.

We have a full team helping make it happen:

  • Sound engineers
  • Stage managers
  • Crew running equipment
  • Drivers moving performers and gear around the festival grounds

Getting entertainers, instruments, and equipment to the right place at the right time is a constant effort, especially in a space that large.

And then there’s the schedule. Every act has a set time, and everything has to stay on track.

Our three kids love being part of this weekend. They enjoy everything the festival has to offer, but their favorite part is easily getting rides on the golf carts as we move around the grounds.

The Challenges No One Sees

Outdoor festivals always come with one big unknown, the weather. We are always watching the forecast and hoping things hold up, because weather can impact everything from equipment to performer safety.

Then there are the technical challenges. At one festival, our main power source took longer than expected to come online. Instead of stopping everything, we quickly pivoted and plugged our DJ into our own smaller power source so the music could keep going while the issue was being resolved.

That’s pretty typical for events like this. You plan everything you can, but you also have to be ready to problem solve in real time.

A Moment That Says Everything

At the most recent festival, Charlie actually busted his eye on a fence early in the morning. Most people would have stopped right there. Instead, he kept going and didn’t get stitches until after the festival was over.

Later that night, one of our neighbors who is a nurse came over and stitched him up in our living room, kids watching and all. A super exciting day to say the least! That pretty much sums up how we approach this. Once we are in it, we are all in.

Why This Festival Means So Much to Us

We’ve been part of this festival for about six years now, and it really represents what our company is about. Bringing together artists from different backgrounds, creating experiences for the community, and showcasing the kind of diversity that makes Houston what it is.

It takes good leadership from the top, first and foremost. We’re incredibly grateful to work with a team that leads with professionalism, organization, trust, and support. They truly make our jobs easier by creating an environment where everyone feels valued and set up for success. It’s rare to work with leadership that feels this supportive, and over the years it has genuinely started to feel like family.

There are also a lot of full circle moments for us here. Before we were ever producing entertainment for this festival, BellaDonna Dance was actually hired to perform, and I was on that stage myself years ago. Coming back now in this role, helping produce the entertainment across the festival, is something that feels really special.

Another one of those moments is working with student performers, including jazz bands from Kinder High School for the Performing and Visual Arts. For Charlie, that’s also full circle since he attended HSPVA. Being able to give those students a platform on a stage like this is something that really matters to us.

Final Thoughts

We’re incredibly honored to be part of the Bayou City Art Festival, and we don’t take that lightly. Events like this are exactly why we do what we do. It’s about more than just entertainment. It’s about creating an experience, supporting artists, and bringing people together in a way that feels natural and exciting.
